If your business turnover has crossed the GST registration threshold limits, or if you are voluntarily opting into the system, your next immediate step is obtaining a GSTIN.
The entire process of applying for a new GST registration is online, paperless, and (if done correctly) surprisingly fast. However, a single mismatched document can lead to departmental queries or outright rejection.
To simplify your filing process and ensure you get your registration certificate without a hitch, follow this practical, step-by-step guide to applying for GST in 2026.
Pre-Requisites: Documents You Need
Before visiting the GST portal, gather the following documents. Scans must be clear and within prescribed file size limits (usually under 1MB for PDFs and 100KB for JPEGs).
- PAN Card of the Business / Proprietor / Partners / Directors.
- Aadhaar Card of the Proprietor / Partners / Directors (crucial for fast-track approval via Aadhaar Authentication).
- Proof of Business Registration: Partnership Deed, Certificate of Incorporation, etc. (Not required for Proprietorships).
- Identity and Address Proof of Promoters/Directors with Photographs.
- Address Proof of Principal Place of Business: Electricity bill, property tax receipt, municipal khata copy, or a valid rent/lease agreement along with an NOC from the owner.
- Bank Account Details: A canceled cheque or the first page of the passbook containing the account number, MICR, IFSC, and branch details.

Step 1: Generating the Temporary Reference Number (TRN)
The registration process begins in Part A of Form GST REG-01, which establishes your basic identity.
- Visit the official GST Portal (
www.gst.gov.in). - Navigate to Services > Registration > New Registration.
- Select "New Registration" and fill in the details:
- State and District.
- Legal Name of the Business (must match the PAN database exactly).
- Permanent Account Number (PAN).
- Email Address and Mobile Number (ensure these are active; OTPs will be sent here).
- Click Proceed.
- Enter the two separate OTPs sent to your mobile and email.
- The system will generate a 15-digit Temporary Reference Number (TRN). This TRN is valid for 15 days.
Step 2: Filling Part B of Form GST REG-01
Now, you will use your TRN to complete the detailed application (Part B).
- Go back to Services > Registration > New Registration, but this time select "Temporary Reference Number (TRN)".
- Enter the TRN and the CAPTCHA code. Verify via OTP.
- Your saved application will display a draft status. Click the Edit icon (blue pen).
The application is divided into several tabs. Fill them out sequentially:
Tab 1: Business Details
Enter your trade name, constitution of business (Proprietorship, Partnership, Company), and the specific reason for obtaining registration (e.g., crossing the threshold, voluntary, e-commerce).
Tab 2: Promoters/Partners
Add the details of all directors or partners. You must upload their photographs and designate one as the Primary Authorized Signatory.
Tab 3: Authorized Signatory
Confirm the details of the Primary Authorized Signatory. This person will sign all future GST returns using EVC (OTP) or DSC (Digital Signature Certificate).
Tab 4: Principal Place of Business
This is where most rejections happen. Clearly mention the address and upload the supporting address proof (e.g., Electricity Bill + Rent Agreement). If you operate from multiple locations within the same state, add them under the Additional Places of Business tab.
Tab 5: Goods and Services
Provide the top 5 HSN Codes for your goods or SAC Codes for your services.
Tab 6: State Specific Information
Enter your Professional Tax Employee Certificate (PTEC) number or State Excise License number, if applicable.
Tab 7: Aadhaar Authentication
Select "Yes" for Aadhaar Authentication. This is highly recommended. If you authenticate via Aadhaar, the physical verification of your premises is waived, and registration is usually granted within a few days.
Step 3: Verification and Submission
After filling out all tabs:
- Verify the declaration.
- Select the name of the Authorized Signatory and enter the Place.
- Submit the application using DSC (Mandatory for Companies and LLPs) or EVC (OTP, allowed for Proprietorships and Partnerships).
Upon successful submission, you will receive an Application Reference Number (ARN) on your email and mobile. You can use this ARN to track your application status.
Approval Process
If you opted for Aadhaar Authentication, you will receive an authentication link on the email/mobile registered with UIDAI. Once authenticated:
- Approval: If all documents are clear, the proper officer will approve your application within 7 working days, and you will receive your GSTIN and a GST REG-06 Certificate.
- Clarification: If the officer finds discrepancies (e.g., blurred rent agreement), they will issue a notice in Form GST REG-03. You must reply within 7 working days via Form GST REG-04.
Common Mistakes Beginners Make
- Trade Name vs Legal Name: Entering a fantasy "Trade Name" in the "Legal Name" field. The Legal Name must strictly match what is printed on the PAN card used for registration.
- Poor Quality Address Proof: Uploading a rent agreement where the pages are cut off or the lessor's name doesn't match the electricity bill. Address proofs are scrutinized heavily to prevent shell companies.
- Ignoring Aadhaar Authentication Links: Failing to click the Aadhaar authentication link sent via email after submitting the form. If you miss this, your application is pushed to a physical verification queue, delaying registration by weeks or months.
